Meet Entry Policy

As a parent, understanding the team policy on meet entries is essential. Below is a description of the entire process.

  1. All meet dates for the year have been placed on the meet schedule page of the website so swimmers and their families can plan for the year.

  2. When hosting teams send the meet information to us we then put the information on the meet schedule page for you to reveiw.

  3. If parents WANT the swimmer to attend do NOTHING.

  4. Coaches assume that if they have not recieved the paper notification saying the swimmer cannot attend within 10 days of the meet start date, then they can enter athletes into the meet using Team Manager software at the pool office.

  5. Then coaches do an upload to Team Manager Online where parents can select the upcoming meet and view their child's entries. *If you don't have the passphrase ask your child's coach. If you don't see your child listed then ask the coach to find out why he/she was left out.

  6. Up until the date when coaches email the entries to the host team changes can be made. However, once the entries have been sent to the host team the entries cannot be revoked and the swimmer's account will be charged regardless if they actually attend the meet or not. This is due to the fact that each meet host bills the team for the swimmers that are entered and we in turn pay in full prior to the start of the meet. If a swimmer was entered in a meet and they did not show up there is no way for us to recover the entry fees.

Many of the meets the team will attend are based on the time standard of the athlete. Meets generally have a qualifying time or time restriction. For instance, Sub J.O. meets are reserved for swimmers that have not achieved a Junior Olympic cut in their event. Wheras to participate in Junior Olympics the swimmer must have achieved the qualifying time prior to the start of the meet. This is done so that swimmers can compete against their peers with similar times. It is wise for a parent to know the general category their child is in. To find out ask a coach for a print-out of a swimmers' best times in yards and meters. Then compare with the motivational time standard list. All new swimmers start out as "C" swimmers then work their way up to "B", "BB", "A", "AA", "AAA", "AAAA."
